Business Letter Generator FAQ
What is the correct format of a business letter?
The block format used here is standard: everything aligned to the left, with a blank line between parts. The order is sender’s address, date, recipient’s address, subject, salutation, body, complimentary close, signature and name.
When do I use “Yours sincerely” and “Yours faithfully”?
In British usage, “Yours sincerely” follows a salutation with a name (“Dear Mr Hossain”) and “Yours faithfully” follows “Dear Sir or Madam”. American letters generally use “Sincerely,” in both cases; you can edit the closing in the text box.
How long should a business letter be?
One page. State the purpose in the first sentence, give the necessary facts, and say what you would like the reader to do.
Does the tool write the content for me?
It supplies the structure and the conventional opening and closing sentences. The substance, your points, comes from you, so the letter says exactly what you mean and nothing invented.
Can I use it for legal letters?
It is a formatting aid, not legal advice. Letters with legal effect, such as termination notices, formal demands or responses to claims, should be checked by a qualified adviser.
Is my letter stored?
No. It is composed in your browser and is not sent to a server.
Why the formal letter survives
Email has replaced the letter for everyday messages, but not for the ones that matter. A complaint that may be escalated, a notice that must be provable, a reminder about money, a confirmation of terms: these are still written as letters, on paper or as a PDF attachment, because a letter is a self-contained record with a date, a sender, an addressee and a signature.
The conventional layout exists to make that record unambiguous. The sender’s address and the date establish who wrote and when. The recipient’s address shows to whom. The subject line lets a busy reader, or a filing clerk, see the matter at a glance. The salutation and the complimentary close follow fixed pairs, and getting them right signals that the writer knows the form.
The body follows an equally simple plan. The first sentence says why you are writing. The middle gives the facts in order: dates, reference numbers, amounts, what happened. The final paragraph says what you want to happen next and by when. Short paragraphs, one point each, are easier to answer than a single block of text.
Tone does the rest. Even a complaint is more effective when it is factual and courteous: describe the problem, state the remedy you seek, set a reasonable deadline. Avoid threats you would not carry out and claims you cannot support. Read the finished letter once as its recipient would, then sign it and keep a copy.
